When is the filing deadline for Form W-2?

Employers must file Form W-2 for their employees with the SSA on or before January 31. Also, the deadline to send recipient copies to employees is January 31

If you miss filing the return or sending recipient copies before the deadline, there will be penalties and the penalty rates will vary based on how late the form is filed and the type of business. 

The IRS will impose penalties for not filing Form W-2 within the deadline. Late filing Form W-2 results in a $50 penalty for each form that is late. That fine increases to $110 per W-2 30 days after the deadline and to $270 per W-2 after August 1.

Note: If the deadline falls on a weekend or a federal holiday, the return can be filed and the recipient copies can be sent on the next business day.
